The ODMS Coordinator provides operational and administrative support for the Packaging TS&D organization. This role is responsible for coordinating Operational Discipline Management System (ODMS) activities, maintaining safety documentation and compliance, supporting employee onboarding, coordinating customer and site visits, and providing front desk and administrative support to ensure the efficient day-to-day operation of Pack Studios.

Key Responsibilities
ODMS & Safety Coordination

  • Coordinate and maintain Operational Discipline Management System (ODMS) activities and documentation.
  • Track and manage action items resulting from audits, self-assessments, and RCIs to ensure timely completion.
  • Organize and maintain SharePoint documentation in alignment with ODMS requirements.
  • Coordinate Management System Reviews and support continuous improvement initiatives.
  • Maintain department safety records and compliance documentation.
  • Coordinate new employee onboarding paperwork, safety orientations, and training records.
  • Serve as the department subject matter expert for document management and participate in ODMS networks.

Administrative & Front Desk Support

  • Serve as the primary front desk receptionist by greeting visitors, customers, and contractors.
  • Manage visitor registration, badge issuance, and visitor office reservations.
  • Coordinate customer and site visits while ensuring compliance with company policies.
  • Provide administrative support to the Pack Studio Facility Leader and Packaging TS&D team.
  • Support organizational projects and collaborate with administrative teams as needed.

Operational Support

  • Process purchase orders and manage departmental supply requests using SAP and company procurement systems.
  • Coordinate facility maintenance requests and work orders.
  • Serve as the departmental contact for mail services, shipping, printers, vehicles, and other office operations.
  • Support day-to-day facility and administrative operations to maintain an organized and professional work environment.

Qualifications

  • Associate's degree or equivalent post-secondary education preferred.
  • 1–2 years of administrative or related experience required.
  • Previous administrative support experience preferred.

Preferred Skills

  • Strong organizational, communication, and multitasking skills.
  • Proficiency with Microsoft Office, including Excel and Outlook.
  • Experience with SAP and digital procurement or document management systems.
  • Ability to quickly learn new systems and work effectively in a fast-paced environment.
  • Strong attention to detail with the ability to manage multiple priorities while maintaining a high level of accuracy.
