• Provides professional administrative support to a group of employees under direction of OpEx leader
• Assists with meeting logistics of booking conference rooms, ordering food/drinks, visitor requests and escorting visitors/guests. Assists with providing appropriate meeting supplies.
• Receives mail. Prepares reports in alignment with procedures and guidelines.
• Acts as office equipment focal point and/or has the ability to troubleshoot. Utilizes training resources to obtain knowledge and build skills. Proactively initiates conversation with senior-level admins and offers help before being asked.
• Schedules meetings for team members and moves meetings per leader direction including operator class hiring interviews
• Maintains inventory and orders office supplies.
• Completes expense report for purchases made for the organization. Collects and scans receipts.
• Demonstrates basic knowledge and application of company software/IT tools. Stays current on information technologies. Troubleshoots standard office equipment problems and applies necessary steps for resolution.
• Attend and/or be involved with department staff meetings.
• Maintain the electronic file shares and the department libraries within the record retention guidelines per the Company’s Global Record Manual Requirements
o Coordinate document slotting and movement for created or modified documentation
o Work with the ODMS Element / Section Owners to maintain documents and records for each section
o Take an active ownership for the file share and library. Participate in periodic audits as the owner of these areas, take responsibility for identified gaps and complete gap closure
o Provide training and coaching on the DMS to Section Owners and Users
• Own the Element Focal Point role for ODMS 05.03.03 Document and Records Management:
o Perform gap analysis, close gaps from self-assessment; and work with department ODMS Coordinator to ensure conformance to requirements
o Provide Document & Records Management input into the department Management System Review (MSR), as needed
o Communicate EDMS reviews and overdues, at least monthly, with department personnel and department leader
• Weekly monitoring of physical libraries and drop boxes with the department
• Administrator of the electronic procedure tool including digitization of procedures and filing in procedure tool
