Provides professional administrative and clerical support to a team under general supervision. Responsibilities include coordinating meetings, managing schedules, supporting travel and expenses, handling visitors and communications, maintaining office supplies and equipment, and preparing reports. The role requires strong organization, communication, problem-solving skills, attention to detail, and the ability to work independently while supporting team priorities.

Key Responsibilities

  • Provide administrative support to employees and leaders, including scheduling meetings and managing calendars.
  • Coordinate meeting logistics, including conference rooms, catering, visitor requests, meeting supplies, and visitor escorting.
  • Receive, screen, and direct incoming calls, visitors, and mail.
  • Prepare reports and gather information in accordance with established procedures and guidelines.
  • Research and coordinate travel arrangements, including flights, hotels, and rental cars; support less-complex travel bookings as needed.
  • Process and maintain expense reports, collect and scan receipts, and manage expenses related to office purchases.
  • Maintain office supply inventory, place orders, and serve as a point of contact for office equipment and basic troubleshooting.
  • Use Microsoft Office and other business applications to complete administrative tasks and stay current with technology.
  • Complete assigned tasks accurately and within established timelines, adapting to changing priorities as needed.
  • Identify opportunities to improve efficiency and proactively anticipate team needs.
  • Communicate clearly and professionally, maintain effective working relationships, and keep team members informed of work status.
  • Demonstrate a strong commitment to safety, company values, continuous learning, and professional development.

Qualifications

  • Bachelor's degree or 1–3 years of relevant administrative, clerical, office support, or customer service experience.
  • Proficiency with Microsoft Office applications.
  • Strong organizational, communication, listening, and problem-solving skills.
  • Ability to follow instructions, prioritize tasks, and work independently with general supervision.
  • Ability to learn new systems and technologies and troubleshoot standard office equipment.
  • SAP experience for administrative processes is a plus; training will be provided.
