The Administrative Assistant provides professional administrative and clerical support to the ODMS team, Training Coordinators, and department leadership. This role focuses on records management, document organization and digitization, training coordination, and general office support. The ideal candidate is highly organized, detail-oriented, process-driven, and comfortable learning new systems and technology.
Key Responsibilities

Provide administrative support to department teams, leaders, and Training Coordinators.

Support records retention and records management activities, including file share organization and electronic record maintenance.

Assist with digitizing documents and creating and maintaining electronic procedures and records.

Support training programs by scheduling classes, assigning and tracking training completion dates, and maintaining training documentation in applicable systems.

Assist with meeting logistics, including conference room bookings, refreshments, visitor requests, and meeting supplies.

Research travel options and arrange routine travel, including flights, hotels, and rental vehicles, as needed.

Collect and scan receipts and assist with expense report preparation and review.

Maintain office supply inventory and place orders as needed.

Serve as a point of contact for office equipment and troubleshoot standard equipment issues when appropriate.

Use Microsoft Office and other business applications to complete administrative tasks and maintain accurate records.

Follow established procedures, identify opportunities to improve efficiency, and escalate issues when appropriate.

Communicate clearly with team members and keep stakeholders informed of assigned work and progress.

Follow site safety requirements and demonstrate a commitment to safe work practices.
Required Qualifications

Previous administrative or clerical support experience preferred.

Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.

Strong organizational skills and attention to detail.

Strong computer skills and ability to quickly learn new systems and technology.

Ability to follow established processes and procedures with minimal supervision.

Strong communication, problem-solving, and follow-through skills.

Ability to manage multiple tasks and meet established deadlines.

Willingness to learn, take initiative, and work effectively as part of a team.

Valid TWIC card required.
Preferred Qualifications

Experience with records management, document control, or electronic document systems.

Experience supporting training, compliance, or learning programs.

Experience with digital document management and file share systems.

Experience working in a manufacturing, industrial, or corporate environment.
