We are seeking an organized and dependable Administrative Assistant to provide professional administrative and clerical support to a team. This role will coordinate office activities, meetings, documentation, scheduling, travel, and other administrative functions while maintaining a high standard of accuracy, confidentiality, safety, and service.
Key Responsibilities
- Provide administrative support to employees and leaders, including scheduling meetings and coordinating calendars.
- Coordinate meeting logistics, including conference rooms, catering, visitor access, escorts, and meeting materials.
- Manage documents, including ownership, review dates, retention requirements, repositories, and document-control processes.
- Enter completed maintenance work and work history into applicable maintenance systems.
- Provide documentation support for audits, assessments, and operational reviews.
- Support employee onboarding activities and respond to routine information requests.
- Receive and direct incoming calls, visitors, and mail professionally.
- Prepare reports and maintain accurate records in accordance with established procedures.
- Coordinate travel arrangements, including flights, hotels, and rental cars, as needed.
- Process receipts and expense reports and maintain office supply inventory.
- Serve as a point of contact for office equipment and troubleshoot routine issues.
- Use Microsoft Office and other business applications effectively while staying current with relevant technology.
- Complete assigned tasks accurately and on time, prioritize changing needs, and identify opportunities to improve efficiency.
- Communicate effectively, collaborate with team members, and proactively provide support.
- Follow company safety expectations and demonstrate a commitment to a safe and respectful workplace.
Qualifications & Skills
- Strong organizational, time-management, and communication skills.
- Ability to manage multiple priorities and work effectively with minimal supervision.
- Strong attention to detail and problem-solving abilities.
- Proficiency with Microsoft Office and general business software applications.
- Ability to learn new systems and troubleshoot standard office equipment and technology.
- Professional, dependable, proactive, and team-oriented approach.
- Ability to follow established procedures while demonstrating sound judgment and initiative.
