The Administrative Assistant provides professional administrative and clerical support to a team under general supervision. This role coordinates meetings and visitors, manages schedules and travel arrangements, prepares reports and expense documentation, and supports day-to-day office operations. The ideal candidate is organized, dependable, proactive, and able to manage multiple priorities while maintaining a strong commitment to safety and quality.

Key Responsibilities

  • Provide administrative support to a group of employees and assist with day-to-day office activities.

  • Coordinate meeting logistics, including conference rooms, catering, visitor requests, meeting supplies, and visitor escorts.

  • Receive and direct incoming calls, visitors, and mail; prepare reports and other routine documentation.

  • Schedule and coordinate meetings and calendars, including changes as directed by team leaders.

  • Research and coordinate travel arrangements, including flights, hotels, and rental cars.

  • Manage office supplies and inventory, including ordering supplies and maintaining related records.

  • Collect and scan receipts and prepare expense reports for review and submission.

  • Serve as a point of contact for office equipment and troubleshoot standard equipment issues.

  • Use Microsoft Office and other business software applications to complete administrative tasks efficiently.

  • Complete assigned tasks accurately and within established timelines while identifying opportunities to improve efficiency.

  • Communicate clearly with colleagues, build effective working relationships, and proactively support team needs.

  • Demonstrate a commitment to workplace safety and follow company safety expectations and values.

Qualifications

  • 0–5 years of relevant experience in an administrative, customer service, or related role.

  • High school diploma or GED required.

  • Associate or bachelor’s degree preferred.

  • Working knowledge of Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.

  • Strong organizational, communication, problem-solving, and time-management skills.

  • Ability to work effectively in a team environment and manage multiple priorities.

  • Willingness to learn new technologies, systems, and processes.

  • Demonstrated reliability, initiative, flexibility, and attention to detail.
