Position Summary
The Administrative Specialist provides professional administrative support to leaders and departments, ensuring the efficient day-to-day operation of business activities. This role requires strong organizational, communication, and problem-solving skills, along with the ability to manage multiple priorities independently. The ideal candidate is proactive, detail-oriented, and comfortable working in a fast-paced environment while supporting cross-functional teams.
Key Responsibilities
- Provide comprehensive administrative support to leaders and department teams.
- Coordinate calendars, schedule meetings, manage conflicting priorities, and arrange conference rooms, catering, and visitor access.
- Coordinate domestic and international business travel, including flights, hotels, transportation, itineraries, and restaurant reservations.
- Prepare and process expense reports, monitor departmental expenses, and assist with budget tracking and reporting.
- Maintain departmental documents, records, SharePoint sites, and Microsoft Teams resources in accordance with company policies.
- Support meetings by preparing materials, taking meeting notes, and ensuring timely follow-up on action items.
- Serve as a point of contact for internal teams, external vendors, and service providers.
- Provide administrative support for departmental projects, identifying opportunities to improve processes and team efficiency.
- Troubleshoot administrative and technology-related issues and provide guidance on standard office systems and equipment.
- Maintain confidentiality while managing sensitive information and company records.
- Assist Quality Specialists with administrative and coordination activities.
- Promote effective communication, collaboration, and a positive team environment while supporting departmental objectives.
Qualifications
- High school diploma or GED required.
- 3–5 years of administrative support experience in a professional office environment.
- Strong organizational, planning, and time management skills.
- Demonstrated ability to prioritize competing demands and manage multiple tasks simultaneously.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Experience coordinating travel arrangements, meetings, expense reporting, and document management.
- Ability to learn new systems and business processes quickly.
- Self-motivated, dependable, and capable of working independently with minimal supervision.
- Strong interpersonal skills with a collaborative, customer-focused approach.
