We are seeking an organized and dependable Administrative Specialist to support document management, records retention, and administrative operations within an industrial plant environment. The ideal candidate is detail-oriented, organized, comfortable managing both physical and electronic records, and able to work independently with minimal supervision.
Candidates with general administrative, clerical, office support, document control, records management, coordination, or customer service experience are encouraged to apply. Training will be provided to the right candidate.

Key Responsibilities

  • Maintain, organize, and update operational records and documentation.

  • File and maintain paperwork in binders and ensure records are complete and accurate.

  • Support records retention activities, including identifying outdated documents and coordinating legal hold requirements.

  • Scan and electronically archive documents using company systems.

  • Process and route chemical documentation and other operational paperwork.

  • Use Microsoft Office, Excel, SharePoint, scanners, and electronic file-sharing systems.

  • Coordinate document and library maintenance activities across multiple plant locations.

  • Plan and manage daily work schedules and site visits independently.

  • Communicate with plant personnel and provide administrative support as needed.

Required Qualifications

  • Administrative, clerical, office support, records management, or related experience.

  • Strong organizational skills and attention to detail.

  • Ability to manage both paper and electronic filing systems.

  • Basic to intermediate Microsoft Office skills, particularly Excel.

  • Ability to work independently, prioritize tasks, and manage schedules effectively.

  • Strong communication and customer service skills.

  • Valid driver's license and reliable transportation.

Preferred Qualifications

  • Experience with SharePoint, document control, or records retention.

  • Administrative or records management experience in an industrial, manufacturing, chemical, refinery, or plant environment.

  • Experience working with operational or technical documentation.

Work Environment & Physical Requirements

  • Primarily administrative and office-based work.

  • Regular handling of physical documents, binders, and records.

  • Occasional access to industrial plant areas.

  • PPE may be required, including a hard hat, safety glasses, and escape respirator. Training will be provided.

Travel Requirements

  • Travel between plant locations is required.

  • Approximately once per month, travel to a nearby facility, typically around a 40-minute drive.

  • Additional driving between facilities on site may be required.
