Job Summary

The Materials Coordinator (MRO / Inventory Coordinator) supports daily operations of the MRO warehouse by managing inventory processes, ensuring material availability, and maintaining accurate records to support maintenance and operational needs. This role is responsible for analyzing and managing inventory levels, coordinating replenishment activities, supporting reservation and backorder workflows, and ensuring compliance with quality and technical requirements. The Materials Coordinator serves as a subject matter expert (SME) for MRO materials and processes and plays a key role in supporting continuous improvement within the supply chain.


Key Responsibilities

Inventory Management & Replenishment

  • Analyze, establish, and manage appropriate MRO inventory levels to support operational demand.
  • Maintain accurate inventory records and ensure compliance with global MRO inventory processes.
  • Execute inventory replenishment activities and Order Recommendation processes.
  • Support and manage inventory reservations and backorder processes.
  • Set up and catalog new inventory items in accordance with system and documentation requirements.
  • Execute processes for new stock setup and material identification.

Surplus & Obsolete Material Management

  • Identify surplus and obsolete materials or equipment based on established criteria.
  • Initiate and support investment recovery processes for surplus inventory.
  • Monitor and follow up on surplus disposition activities to reduce waste and optimize inventory value.

Supplier Performance & Supply Chain Support

  • Monitor supplier performance metrics related to delivery timelines and completeness.
  • Support supplier performance measurement reporting and follow-up as needed.
  • Identify and initiate supply chain improvement opportunities to enhance service and efficiency.

Systems, Reporting & Documentation

  • Utilize SAP and PC-based reporting tools to generate inventory and supply chain reports.
  • Support end-user reporting needs by producing accurate data and analysis.
  • Participate in system support activities (such as MSMS), including program updates, testing, and functionality improvements.
  • Ensure proper cataloging and documentation of MRO materials within inventory systems.

Technical & Quality Coordination

  • Perform technical identification of new and existing MRO materials.
  • Support technical and engineering specification alignment for stocked materials.
  • Ensure adherence to Quality Control requirements related to MRO materials.
  • Act as a problem solver for technical material issues impacting operations.

Standardization & Continuous Improvement

  • Participate in standardization efforts for MRO materials to improve consistency and reduce cost.
  • Support and participate in “share the spare” processes to optimize resource utilization across sites.
  • Serve as a Subject Matter Expert (SME) for MRO processes and materials, supporting cross-functional departments.

Required Knowledge, Skills, and Abilities

  • Strong understanding of MRO inventory work processes and warehouse requirements.
  • Knowledge of reservation, backorder, and replenishment processes.
  • Experience with cataloguing systems and inventory setup requirements.
  • Ability to analyze inventory trends and recommend improvements.
  • Familiarity with supplier performance monitoring and reporting.
  • Proficiency with SAP and reporting tools.
  • Strong organizational skills and attention to detail.
  • Ability to interpret technical and engineering specifications.
  • Understanding of Quality Control requirements in an inventory environment.
  • Strong communication skills and ability to support end users and internal stakeholders.

Minimum Qualifications

  • Associate Degree OR 3+ years of relevant inventory/materials coordination experience (MRO preferred).

Preferred Qualifications

  • Experience supporting manufacturing, industrial maintenance, or warehouse environments.
  • Prior experience working with MRO supply chain systems such as MSMS.
  • Advanced SAP reporting or inventory planning experience.
